Every Gordana feature

What Gordana does, part by part. Everything is in one subscription for the whole team, and what is optional you switch on yourself when you are ready.

Quotes

Pick the curtain type, type the sizes, choose the fabric. Gordana works out fullness, fabric usage, surcharges and VAT, the same way every time.

Your own curtain types

Per type your fullness ratio, styles such as straight or butterfly pleat, a surcharge per metre and the largest size you make. A window larger than that cannot go on a quote.

Price rules per fabric and brand

A surcharge for a dearer brand or a particular fabric is set once in the settings and lands on every quote that uses that fabric.

Extras and installation

Rail, motor, gliders, installation: per window or per piece. What always goes along is added straight away, so nobody forgets it.

Discount and deposit

A discount as an amount or a percentage, a deposit with its own email, prices including or excluding VAT, the way your customers expect them.

A PDF in your branding

Your logo, your colours, your terms. The quote is emailed to every address the customer gave you.

Online acceptance

The customer opens the quote from a link and accepts it. It becomes a job straight away and shows up in your list.

Read-only view and versions

A quote opens to read, so nothing changes by accident. Editing is one click away, and every earlier version is kept.

Follow-up you don't have to remember

Automatic emails for the deposit, a reminder for customers who have not replied, and after installation a request for a review.

Jobs

An accepted quote follows your own statuses. A tick moves it on, and one list shows where everything stands.

Your own workflow

Statuses and checkboxes the way your shop works: fabric ordered, fabric received, ready to install. Once every box of a status is ticked, the job moves on.

Checkboxes per maker

A checkbox can apply only to work for the manufacturer, for the seamstress or for certain curtain types. A job with both waits until both are done.

A status for problems

When something goes wrong, set the job aside in a status such as Problem. On their own page the customer still sees the step it was at.

Ready, per curtain type

Count the curtains that are ready the way you hang them. Once everything is ready, Gordana ticks the box you chose for it.

The customer can follow along

A page of their own where the customer sees how far their job has come, and a text message when you let them know.

Conditions before moving on

Should a job only move on once its fabric is on a roll or with the seamstress? Switch it on per status. It is off by default.

A trash that really restores

Restoring brings everything back: the curtains, the notes, the versions and the planning, under the same number.

Activity log

Who did what and when, per job, per customer and for the whole shop.

Fabrics, rolls and seamstresses

Every roll has a number and a label. You see how much is on it, what is reserved and which seamstress has it.

Fabrics and colours

Your fabrics with brand, colours, cost and selling price. Fabric sold by the running metre keeps stock per roll. If you order fabric by the m² per job, switch stock off for it.

A label on every roll

Every roll gets a number, such as R42, and a label with a QR code and a barcode, printed on your label printer.

Scan from anywhere

Scan a label with your phone's camera or a barcode scanner, on any page, and the roll opens.

Reservations per roll

Fabric for running jobs is reserved on a roll. A roll that is too short stands out at once, and the Needed tab shows what still has to be cut.

Handing work to a seamstress

Who gets it, what goes along, which roll. You see how much work each seamstress already has and whether her own roll is long enough. The work order prints in one go.

A message when work goes out

When you hand work out, the seamstress can get an email or text message with what she takes along, in your own words.

Back in the shop

Tick that the fabric is back and the roll comes with it. Measure it and print the new label. A remnant below your limit is written off and kept on record.

Ordering from the manufacturer

An order sheet without prices, sent by email, with an overview of what has already been ordered.

Hanger labels

A label with the customer's name and 3/6 in the corner, one for every hanger. Everything that came back ready today prints in one go.

Who makes what

Per curtain type or per brand: your own workshop or the manufacturer. Gordana divides the work by that rule, not job by job.

Planning and calendar

Measuring visits and installations per person, on a calendar and on a map. Gordana suggests a time next to an appointment that is already nearby.

A calendar per kind of appointment

Month, week and agenda. Measuring, installation and your own kinds, each with who is going.

The day on the map

Every weekday its own colour, a route per person from the shop and back, with the driving time. One tap opens navigation on the phone.

Plan where you already drive

Pick a customer and Gordana shows, for every day, the appointment it fits next to best, with the detour.

Towns, like the paper diary

The week with the town as the title of every visit. Search a postcode or a customer and see what is already planned nearby.

Installation planning

Who to call to come and hang their curtains: every job that is fully ready, with phone numbers and suggested days.

Fitters and preferred hours

Who goes out in the morning, who prefers Fridays, who is on holiday. It steers the suggestions and never blocks an appointment.

Time to leave

A countdown to when you need to set off, with the driving time from the previous customer, and a nudge just before.

Addresses that are found

Suggestions as you type, and a Flemish address is looked up in the official address register, even when the street was spelt differently.

Showroom and website

Website connected on request

Your shop's diary, and customers who book a visit or request a quote themselves on your own website.

Shop diary

Opening hours, the length of a visit, breaks and recurring markers, with notes per day or per week.

Holidays and closing days

Closed from one date to another, in one go for the diary, the dashboard and the website.

Online booking

Customers book a visit on your website. They get a confirmation with a calendar file, an email on the day itself and a link to move or cancel.

Quote requests with an estimate

On your website the customer puts their windows together and sees an estimate, calculated the way Gordana calculates every quote. The request arrives as a draft among your quotes.

The customer walking in now

When someone has an appointment right now, one click fills their details into a new quote.

Email and SMS

Every email and text message to your customers leaves from Gordana, with what was sent per day, week and month.

Communication in one place

What went out today, this week and this month, a new message to one or more customers, and the history of everything that was sent.

Morning email

At 8 o'clock the day's customers get an email: who is coming and on which mobile number. Calls asking what time you will arrive become rare.

Letting the customer know

A text message that the curtains are ready, sent from the job, with your own templates.

A tick after the message

Choose which checkbox an email or text message ticks, so the job can move on once the message is out.

Unsubscribes handled

Every email has an unsubscribe link. Whoever unsubscribes gets no more automatic emails; the customer's other addresses still do.

Reviews

After installation a request for a review, with the answers per customer and per team member. Only visible to whoever you allow.

Invoicing

Optional

You draft invoices in Gordana. The invoice itself is created in the invoicing program you already use: Onlinefact or BillToBox.

From job to invoice

A deposit invoice on acceptance, a final invoice that deducts paid deposits, credit notes and payment reminders.

Issued in your own program

Gordana creates the invoice in Onlinefact or BillToBox, with a sequential number and a Belgian structured reference. From there it goes to the customer.

Payments come back

What you book as paid in the program shows in Gordana the next day.

Automatic, if you want

A draft on acceptance or at a status you choose, and a tick on the job once the invoice is paid. An invoice number is always given by a person.

Financial overview

Revenue, outstanding amounts and reports per period, only for whoever you give access.

Team, phone and overview

Everyone in the shop with their own rights and their own language, on the computer, the tablet and the phone.

Rights per page and per action

Decide who creates quotes, who changes statuses and who sees the figures. A fitter can see only their own jobs.

Three languages

Dutch, English or Turkish, per team member. The quote your customer receives stays in Dutch.

Built for the phone

Your three favourite pages along the bottom and a button for a new quote or the calendar. Everything is big enough for a thumb.

A dashboard you arrange yourself

Open quotes, what was just measured with a deposit paid, free times in the diary, revenue for whoever may see it. You choose the blocks.

Search across everything

One search box for customers, quotes and jobs, on the computer and on the phone.

Year in review

In January your year as a story to tap through, with cards to share on social media. Your revenue is never on them.

Help from inside the app

Ask a question or report a problem from Gordana itself. The answer comes from the person who builds it.

Partner portal

Optional

For business customers such as housing associations: a portal of their own with their quotes, jobs and planning.

Linked by email address

Every customer with the partner's address belongs to them automatically, whatever name the file is under.

Their own portal

Quotes, jobs, a calendar and a map, showing only their own files.

Approve and request

Per partner you decide what is allowed: approving quotes, putting together a quote themselves, with a standing discount.

You keep the price in hand

What a partner puts together stays a draft until you check and save it. Only then can it be approved.
